Course Overview

This workshop is designed for professionals who create the same types of documents repeatedly and want to use AI to make the process faster and more consistent. Participants will learn how to turn a real document, report, summary, presentation, etc. from their own work into a reusable, prompt-driven template that generates strong first drafts on demand. Participants will bring documents they actually write, and leave with a working template they can use immediately.

The course is tool-agnostic and can be delivered using whichever AI platform your organization already uses, including ChatGPT, Claude, Copilot, or Gemini. By the end of the session, participants will have one complete, tested template and repeatable method for building more across their team.

Course Benefits

  • Use AI to identify the repeating structure inside documents
  • Distinguish between content that stays fixed and content that changes with each use
  • Build a prompt structure that reliably generates a strong first draft from variable inputs
  • Test and refine a template through iteration until it produces consistent, usable output
  • Leave with one working template ready to use and a method for creating more

Delivery Methods

Delivered for your team at your site or online.

Course Outline

  1. Why Templating Changes How Teams Work with AI
    • The cost of starting from scratch every time
    • What a prompt-driven template is and how it differs from a document template
    • What makes a document a good candidate for templating
  2. Anatomy of a Reusable Document
    • Identifying the repeating sections in your document
    • Separating fixed structure from variable inputs
    • Recognizing what AI handles well versus what still needs human input
  3. Building Your First Template
    • Choosing a document to work from
    • Drafting the prompt structure: instructions, context, and input placeholders
    • Writing clear input prompts that guide the user without over-constraining the output
  4. Testing and Refining
    • Running your template against a real use case
    • Diagnosing weak output: structure problems versus input problems versus prompt problems
    • Iterating until the template produces a consistently usable first draft
  5. Making Templates Work for a Team
    • Documenting your template so others can use it without explanation
    • Deciding what to standardize across the team and what to leave flexible
    • A repeatable process for building additional templates from other documents
